1. The Hirer accepts responsibility to ensure all payments have been made for the full outstanding
balance by cheque 14 days prior to the booking or in cash on pick up by prior agreement only. The
only exception to this is if you hold account facilities. (All account to be settled within 30 days
otherwise 10% interest is incurred per week).
2. All deposits paid to HP Minibuses are non-refundable. Cheques to be made payable to HP Minibuses.
3. The Hirer is fully responsible for any damage or mess created or left on the vehicle. If any member
of the group is ill i.e. vomiting on the vehicle or soils the seating in any way a surcharge of £50 per
incident will be made. Payment for any damages must be made in full on the day of the incident.
4. HP Minibuses reserve the right to alter the cost listed overleaf without prior notification where
there is an alteration by the hirer. The amended price will be given on request.
5. HP Minibuses reserve the unconditional right to refuse a booking or terminate a passenger’s journey
in the event of unreasonable conduct without refund.
6. The hirer must not load the vehicle(s) beyond the number of passengers, which it is legally permitted
to carry attempts to do so may result in the journey being terminated without refund.
7. No alcohol is to be carried or consumed on the vehicle(s) without prior approval.
8. On return journeys we do allow additional drops, these should always be agreed in advance so that we
may inform the driver what has been requested, drivers will not carry out additional drops that have not
been pre-arranged. Any extra drops will be shown on your confirmation.
9. HP Minibuses is unable to accept responsibility for missed connections if the delay is due to adverse
road conditions, mechanical failure, acts of terrorism, flood, fire or traffic delays. We are always happy
to suggest routes and times to customers but the times of the booking are your decision and adequate time
should be allowed to cover these eventualities.
10. The hirer is responsible for all parking charges.
11. Lost property will be stored at our offices for a period of 2 months only and can be claimed between
the hours of 9am and 5pm Mon – Fri, by prior agreement. We undertake to look after any lost property whilst
in our care. We cannot return lost property however; we will do our best to aid collection.
12. HP Minibuses do not take any responsibility for luggage or property left on or carried in one of our
vehicle(s) or trailer(s). Property is carried entirely at the owner’s risk.
13. In the event of a breakdown, we have the unconditional right to hire minibuses which may be a different
standard from other companies to complete the journey.
14. HP Minibuses reserve the unconditional right to substitute any booked vehicle(s) with alternative
vehicle(s) if necessary.
Cancellation charges.
15. Cancellation of any contract work will require 30days written notification.
16. Cancellation of a private hire booking will incur the following charges
* 7 to 30 days before departure - 25% of total charges
* 1 to 6 days before departure - 100% of total charges
17. Airport return flight delays.
* Within 4 hours No charge
* Between 4 & 12 Hours 25% of the journey charge to pay.
* Between 12 & 24 Hours 50% of the journey charge to pay.
* More than 24 hours will be charged as a new journey
18. All our vehicles are non smoking please do not embarrass our driver by asking to smoke.
19. Unless you tell us otherwise in writing you are deemed as having accepted these terms and conditions of
hire in full, it is the responsibility of the hirer to make their group aware of the conditions.
